ClickUp has more text fields than any other project management tool. Task descriptions, subtask descriptions, ClickUp Docs pages, Whiteboard text blocks, goal descriptions, comment threads, custom field values. The Spaces, Folders, and Lists hierarchy means a single project might have dozens of items that all need written context. That depth is ClickUp's advantage and its bottleneck. The more places you can add text, the more typing you need to do, and the more likely that most of those fields stay empty. Voice turns ClickUp's depth from a burden into an actual strength because filling in a text field takes seconds instead of minutes.

  1. Open ClickUp in your browser or the desktop app.
  2. Navigate to the Space, Folder, and List where your task lives. Create a new task or click an existing one.
  3. Click into the task description field.

  5. Speak the full requirement: what needs to happen, why, what the acceptance criteria are, and any dependencies or blockers.

Task Descriptions Across the Hierarchy

In ClickUp, a Space might represent a department, a Folder a project, and a List a sprint or workstream. Each level benefits from a written description that explains its purpose. Most teams describe the Space and maybe the Folder, then leave List and task descriptions empty. Voice makes it practical to describe every level. When you create a new List for a sprint, click the description area, press your hotkey, and speak the sprint goals and scope. When you create a task within that List, dictate the technical requirements. When you add subtasks, dictate what each one covers. The entire hierarchy becomes self-documenting because the effort to describe each level is 15-30 seconds of speaking.

ClickUp Docs Authoring

ClickUp Docs is a built-in wiki for project documentation, meeting notes, and process guides. Writing a multi-page Doc by typing is a commitment, so most Docs are either short stubs or copy-pasted from external tools. Voice makes Docs practical to create natively in ClickUp. Open a Doc, click into a page, press your hotkey, and dictate a full section. Move to the next page and do the same. A process guide that covers setup instructions, common workflows, and troubleshooting steps can be dictated in 10-15 minutes. AICHE's Content Organization feature structures your spoken explanation into clear paragraphs. After dictation, use ClickUp's editor to add headers, code blocks, or embedded views. The result is documentation that lives where the work happens instead of in a separate tool nobody checks.

Goal Setting and Detailed Comments

ClickUp Goals track measurable objectives tied to tasks. Each goal needs a description explaining the target, the timeline, and how progress is measured. These descriptions are usually one sentence or empty. Voice lets you dictate a complete goal description in 20 seconds: the business context, the specific metric, the target value, the deadline, and which tasks contribute to it. The same applies to comments on tasks. A typed comment is usually "done" or "needs review." A dictated comment explains what was done, what decisions were made, and what the reviewer should pay attention to. That context prevents rework and speeds up reviews.

Heads-up: ClickUp's task description editor supports rich text and slash commands. After AICHE inserts your dictated text, you can use ClickUp's formatting options to structure it further. ClickUp's AI features can also generate subtasks from a detailed description, so a thorough voice dictation gives the AI more to work with.

Pro tip: when working across multiple Lists in ClickUp, keep a browser tab open to each List. Dictate task descriptions in batches, moving from tab to tab. This is faster than navigating the hierarchy repeatedly.

Result: filling in task descriptions, Doc pages, goal descriptions, and comments across ClickUp's hierarchy takes a fraction of the time it used to, and the workspace becomes genuinely useful as a source of truth because every field has real content.
