Voice input for Mac email
Speak your emails directly into Apple Mail.
The short answer: open Apple Mail, click into a new message or reply field, press ⌃+⌥+R, speak for 30-60 seconds, and AICHE inserts the formatted email at your cursor position. No Fn key holding required.
Apple's built-in dictation has friction. You double-tap the Fn key, wait for the microphone indicator, speak while hoping it does not time out, then watch it process slowly through Apple's servers. It works for a sentence or two, but it is not built for composing full emails. AICHE replaces that with a press-speak-press workflow that handles paragraphs of text reliably.
- Open Apple Mail on your Mac.
- Click New Message (or press ⌘+N) to compose, or click Reply on an existing thread.
- Click into the message body so your cursor is positioned where you want text.
- Press ⌃+⌥+R to start recording.
- Speak your complete email, including greeting, body content, and closing.
- Press ⌃+⌥+R again. AICHE transcribes and inserts the formatted text.
- Review, then click Send (or press ⌘+Shift+D).
Heads-up: Apple Mail respects your font and style preferences. If you have set a default font in Mail > Settings > Fonts & Colors, AICHE's transcribed text adopts those settings automatically. Set your preferred font once and forget about it.
Why Built-In Dictation Falls Short for Email
macOS dictation was designed for short bursts of text, not sustained composition. It times out after pauses, it requires you to hold or double-tap the Fn key, and the transcription runs through Apple's servers with noticeable lag on longer passages. For a quick Spotlight search or a short iMessage reply, it works fine. For a three-paragraph email to a client, it falls apart.
AICHE takes a different approach. You press the hotkey once to start, speak as long as you need (30 seconds, 60 seconds, even 90 seconds of continuous speech), then press the hotkey again to stop. If you chose Apple Mail over Gmail or Outlook, you probably care about not handing your data to advertising platforms.

The practical pairing with AICHE is this: when a VIP email arrives and triggers a notification, you can open it, hit Reply, dictate a response in 30 seconds, and send. Important people get fast responses without you spending 5 minutes typing.
For general inbox processing, Apple Mail's rules and smart mailboxes let you sort incoming mail automatically. Work through each smart mailbox in sequence, dictating replies as you go. The combination of Apple Mail's sorting and AICHE's voice input turns inbox processing into a scan-speak-send loop that moves quickly.
The pro-tip: if you manage both personal and work email in Apple Mail, enable Message Ready before switching to your work account. Your casual speaking style gets formatted into professional text for work emails, and you can disable it when replying to friends and family where a relaxed tone is fine.
