Short answer: open a HubSpot contact, company, deal, ticket, or meeting record, click Log call, Note, Email, or Meeting, put the cursor in the notes or email body field, press ⌃+⌥+R on Mac or Ctrl+Alt+R on Windows and Linux, narrate what happened, then press the hotkey again. AICHE fills Call notes, Meeting notes, deal notes, or the email body while you set the call outcome and save.

The Problem

HubSpot's value sits in the activity timeline. Forecasts, handoffs, manager coaching, Breeze Assistant answers, and Prospecting Agent research all depend on what reps actually put into Call notes, Meeting notes, and deal notes. When those fields are thin, every downstream workflow is guessing.

Reps know they should log calls properly, but a 30 minute discovery means several paragraphs of context: timeline, budget, stakeholders, objections, next steps. Typing that into Call notes, picking a call outcome, and updating deal notes on the record can take 8 to 12 minutes per call. Across a day of calls, that is an hour of keyboard time most people do not have, so they type three lines or batch updates at the end of the day when the details are gone.

How It Works

  1. Open the contact, company, deal, ticket, or meeting record you want to update.
  2. In the activity bar, click Log call, Note, Email, or Meeting.
  3. Put the cursor in the rich text field you care about: Call notes, Internal meeting notes, the Note body, or the Email composer.
  4. Press ⌃+⌥+R on Mac or Ctrl+Alt+R on Windows and Linux to toggle AICHE recording.
  5. Speak the call summary, meeting notes, deal update, or email content out loud the way you would brief a teammate.
  6. Press the same hotkey again. AICHE transcribes, removes filler, and inserts cleaned text into the field at your cursor.
  7. Set call outcome or meeting outcome, associate records, schedule follow ups, and save the activity.

AICHE inserts wherever the cursor is in your HubSpot browser tab on macOS, Windows, and Linux. The same account can also run on iPhone, iPad, Apple Watch, Android, Chrome, Obsidian, and the REST API, but the workflow on this page is about the desktop hotkey loop in HubSpot's web app.

Timeline, Call Notes, and Meeting Notes

One sales call log example: open the deal record, click Log call, cursor in Call notes, press the hotkey, speak:

"Spoke with Dana (VP Ops) at Meridian. Pain: manual CSV export every Friday for their logistics partner. Objection: worried about SSO timeline. Budget band $40-60k if we include filtered export. Next step: send security one-pager and schedule demo with IT. Owner: me, follow up Thursday."

Stop recording. Set Call outcome to Connected. Save. AICHE does not set outcomes, associate records, or schedule tasks; HubSpot's form fields stay manual.

Same pattern for Meeting notes on QBRs: pain, current stack, budget, timeline, decision makers, risk, next step in Internal meeting notes.

Deals, Sequences, and Other HubSpot Surfaces

AICHE also helps keep deal context and outreach content accurate without sacrificing speed.

  • Deal and contact notes: use the Note icon to drop free form notes onto the timeline. Dictate quick context like competitor mentions, Slack snippets, or coaching notes so the account history does not live only in chat.
  • Sequence emails and one off outreach: when composing an email from a record or editing a sequence step, put the cursor in the email body, speak the message exactly as you would say it to the prospect, and let AICHE turn it into written text you can still fine tune.
  • Service surfaces: HubSpot Knowledge Base and Help Desk reply fields accept AICHE input as well. Support teams can dictate longer explanations and still edit for precision before publishing.

Across all of these, the same pattern holds: the AICHE hotkey fills the draft fields, and the HubSpot UI and outcome fields remain the source of structure.

What You Get

  • Faster logging with better detail: full call notes and Meeting notes become realistic on every call instead of reserved for big deals.
  • A timeline that tools can trust: Call notes, Meeting notes, deal notes, and sequence emails include specific entities like product names, competitors, dates, amounts, and next steps that Breeze Assistant, Prospecting Agent, and custom reports can rely on.
  • Accurate ordering on the activity timeline: logging within 60 seconds of hanging up keeps activity timestamps aligned with the day instead of clustering into one block at 6 pm.
  • Consistent privacy behavior: audio is captured on your device, streamed securely to the cloud for transcription, and dropped immediately after processing, within 1 second, with no long term audio storage.

FAQ

Does AICHE install as a HubSpot app or integration?
No. There is no HubSpot marketplace app to install. AICHE runs as a desktop application and inserts text into whichever text field has focus in your browser, including HubSpot's Call notes, Meeting notes, Note composer, and email body.

Can I use it with HubSpot's rich text editors?
Yes. The Call notes editor, Internal meeting notes, rich text Note composer, sequence email body, Knowledge Base editor, and Help Desk reply fields all accept inserted text just like typing. Formatting such as bold, lists, and links is still added manually after the dictation lands.

Can it fill structured fields like Call outcome or pipeline stage?
No. AICHE only inserts into text fields. Structured fields such as Call outcome, Meeting outcome, deal stage, and picklists still require clicks or keyboard selection.

Does AICHE replace HubSpot's live call recording and Conversation Intelligence?
No. HubSpot's call recording and Conversation Intelligence handle live call transcripts. AICHE is for what you would normally type as Call notes, Meeting notes, and deal notes after the call.

What about platforms and devices for the team?
AICHE supports macOS, Windows, Linux, iPhone, iPad, Apple Watch, Android, Chrome, Obsidian, and a REST API. For HubSpot you mainly care about the desktop apps plus your browser, but the same subscription can also cover mobile and other tools your team uses.

Result and Pricing

With AICHE filling Call notes, Meeting notes, deal notes, and sequence emails, the HubSpot activity timeline finally reflects what happened on the call instead of a three line summary. Managers, RevOps, and tools such as Breeze Assistant and Prospecting Agent all get better raw material for coaching, reporting, and prospect research.

Plans for AICHE start at $3.99 per month on the annual Personal plan, with a 7 day free trial and no credit card required. Pro covers up to 10 devices on one account.
