The short answer: click the email body (or subject line), press ⌃+⌥+R (Mac) or Ctrl+Alt+R (Windows/Linux), dictate subject context, ask, deadline, and sign-off in one pass. AICHE inserts into the active field. You proofread names, CC list, and attachments; the mail client sends.
AICHE does not attach files, set recipients, or press Send. It only fills text fields you focus.
Example (reply body): "Hi Sarah, re: Q2 onboarding timeline. We can ship the admin panel by June 12 if legal signs the DPA this week. Please confirm whether ACME needs SSO on the same date. I'll follow up with the security one-pager by Friday. Best, Alex."
How It Works
- Open Gmail, Outlook, Apple Mail, or any webmail. Start Compose or Reply.
- Click into Subject (optional) or message body.
- Press ⌃+⌥+R (Mac) or Ctrl+Alt+R (Windows/Linux) once to start recording.

- Speak greeting, thread context, request, deadline, and signature. Pause briefly between paragraphs.
- Press the hotkey again. Message Ready adds punctuation and paragraph breaks.
- Verify recipient, CC, attachment references, and numbers. Click Send in the mail app.
Support replies, sales intros, and follow-ups work the same way: dictate the reply body and thread context, then review before send.
Why Voice Works Better for Email
You Already Know What to Say
The bottleneck with email isn't knowing what to write - it's the mechanical act of typing it. When you reply to a colleague's question, the answer forms in your head instantly. Then you spend 3-5 minutes translating that thought into keystrokes. Voice removes the translation step. You think the answer, say it out loud, and it appears as text.
Natural Tone
Typed emails often sound either too formal or too casual because you're consciously constructing sentences. Spoken emails land in the middle - your natural speaking voice carries the right tone for professional communication. Message Ready smooths out any rough edges without losing that natural quality.
Faster Replies Mean Shorter Inbox
The faster each reply takes, the more likely you are to clear your inbox in one sitting. When replying takes 60 seconds instead of 4 minutes, you stop deferring replies to "later" - which usually means "never" or "three days from now when it's awkward."
Types of Emails That Work Best
Quick Replies (10-20 seconds)
"Thanks for sending that over. I reviewed the proposal and it looks good. Let's move forward with option two and I'll loop in the design team for next steps."
One breath. Done. No typing required.
Status Updates (20-30 seconds)
Updates to your manager or team about project progress. Speak the three key points - what's done, what's in progress, what's blocked. Message Ready handles the formatting.
Detailed Responses (30-60 seconds)
Client emails, vendor negotiations, or anything that needs multiple paragraphs. Speak in natural paragraph chunks - pause briefly between topics and AICHE structures the output with paragraph breaks.
Cold Outreach and Introductions (20-30 seconds)
When you need to sound natural and approachable, dictation beats typing. Your spoken voice carries warmth and personality that's hard to manufacture when typing.
Tips for Better Email Dictation
Include Everything
Say your greeting, body, and sign-off in one recording. "Hi Sarah, thanks for the update on the project timeline. I think we should push the launch back by one week to give QA enough time. Let me know if that works for your team. Best, Alex." That's a complete email in 12 seconds of speaking.
Speak Names Clearly
Proper nouns - people's names, company names, product names - are the most common source of transcription errors. Slow down slightly for names, especially uncommon ones. AICHE's Polish enhancement catches most name corrections, but a clear initial pronunciation helps.
Pause Between Paragraphs
For longer emails, a one-second pause between topics tells the AI where to insert paragraph breaks. This is faster and more natural than saying "new paragraph."
Enable Clean Language for Formal Contexts
If you tend to speak casually (and who doesn't), enable the Clean Language option in settings. It adjusts informal phrasing while keeping your message natural. "Yeah so basically we need to push the thing back a week" becomes "We should push the timeline back by one week."
Works With Every Email Client
AICHE's hotkey operates at the system level, so it works anywhere you can type:
- Gmail - compose and reply in browser
- Outlook - desktop app and web versions
- Apple Mail - native macOS integration
- Yahoo Mail, ProtonMail, Fastmail - any webmail in any browser
- Superhuman, Spark, Airmail - third-party email clients
- Mobile - use the AICHE app on iPhone or Android to dictate email drafts
The Numbers
The average professional sends 40 emails per day. At 3-4 minutes of typing each, that's 2-2.5 hours daily spent on email composition alone. Voice dictation at 30-60 seconds per email brings that down to 20-40 minutes. Over a work week, you reclaim 6-10 hours of typing time.
Do this now: open your inbox, click reply on any waiting message, and dictate your response instead of typing it. Most people are surprised by how natural the output sounds on the first try.
